The rules for using vanhire.com; and the important point that we are a comparison service, not the hire company.
1. About these terms
These terms of use govern your use of vanhire.com (the "site"). By using the site you agree to them. If you do not agree with them, please do not use the site.
2. What vanhire.com is — and what it is not
vanhire.com is a comparison and introduction service. We bring together van hire listings published by independent hire companies and let you search, compare and contact them.
We are not a van hire company, we are not a broker, and we are not a party to any hire agreement. This matters in four ways:
- The contract is with the hire company. When you hire a van, your contract of hire is made directly with the hire company, on their terms, not with us.
- Prices and availability are set by the hire company. Prices shown on the site are indicative and are supplied to us by the hire company. They can change at any time, and the price the hire company quotes you is the one that applies.
- The hire company is responsible for the van and the service. The condition of the vehicle, insurance, deposits, mileage limits, fuel policy, driver eligibility and everything else about the hire are the hire company's responsibility.
- We do not take payment for hires. Any payment for a hire is made to the hire company, on their terms.
We are not the hire company's agent and we do not act for you. We do not guarantee that any listing is accurate, available or suitable, and we do not endorse any hire company.
3. Enquiries
When you send an enquiry through the site, we pass your details to the hire company you selected so that they can reply to you. The hire company is responsible for answering your enquiry and for the response time they advertise. We do not control how quickly, or whether, they reply.
Your details are handled as described in our privacy statement.
4. Using the site
You may use the site for lawful purposes only. You must not:
- use the site in any way that breaks the law or infringes anyone else's rights;
- submit false, misleading or abusive enquiries, or another person's details without their permission;
- scrape, copy, harvest or republish listings, prices or any other content in bulk;
- introduce viruses, malware or anything else harmful, or attempt to gain unauthorised access to the site or its data;
- interfere with the site's normal operation, including by automated requests that place an unreasonable load on it.
We may suspend or withdraw access to the site, in whole or in part and without notice, including to deal with misuse or to carry out maintenance.
5. Content and intellectual property
The site's design, text, graphics and software belong to us or are licensed to us, and are protected by copyright. You may view and print pages for your own personal, non-commercial use. You may not copy, modify, distribute or use them for any commercial purpose without our written permission.
Listings, logos, photographs and descriptions supplied by hire companies belong to them, and they are responsible for making sure they have the right to publish them.
6. Links to other sites
The site links to hire companies' own websites. We do not control those sites and we are not responsible for their content, their terms, or how they handle your information. A link is not an endorsement.
7. Availability and accuracy
We work to keep the site accurate and available, but we provide it "as is". We do not promise that it will be uninterrupted or error-free, or that listings, prices and availability will be correct or current. Any figures we publish about response times, availability or popularity are indicative only.
8. Our liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for:
- losses arising from your dealings with a hire company, including any hire agreement, the vehicle, or the service you receive;
- loss of profit, loss of business, loss of opportunity, or any indirect or consequential loss;
- any loss arising from the site being unavailable, or from content on it being inaccurate or out of date.
Where we are liable to you and you are a business, our total liability is limited to £100.
9. Changes to these terms
We may update these terms from time to time, for example to reflect changes in the law or in the service. The version published on this page is the one that applies, and the date at the top shows when it last changed. Continuing to use the site after a change means you accept the updated terms.
10. Which law applies
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.

The terms a hire company agrees to when it joins the waiting list or opens a partner account.
These terms and conditions apply to hire companies ("you", "partner") that register an interest in vanhire.com through the waiting list, create a partner account, or list vehicles on the site. They sit alongside our terms of use.
1. Who can open an account
Partner accounts are for businesses that hire out vans in the United Kingdom. By registering you confirm that you are authorised to act for the business you are registering, and that the details you give us are accurate and complete. You must keep them up to date — in particular the email address we contact you on.
You are responsible for keeping your password secure and for everything done through your account.
2. The waiting list
Joining the waiting list registers your interest. It costs nothing, does not create an account, and does not commit either of us to anything. We hold one record per company email address; submitting again updates that record rather than creating a second one.
When we open the site we will contact you at the address you gave us. Joining the waiting list does not guarantee a place, and does not guarantee any particular price.
3. The launch offer and the free period
We offer two kinds of free period:
- Launch offer. Companies that registered an interest through the waiting list before launch take a shared free period that ends on a single published launch date, regardless of when they joined. That date is shown in your partner dashboard.
- Free trial. Every other new account starts with a 30-day free trial from the day the account is created.
A free period is given once per company. It is not restarted by changing plan, and it cannot be transferred to another company or account.
No payment is taken during a free period. We will tell you before a free period ends, and you will be asked to set up payment if you want to carry on. If you do not, your listings stay on the site until we decide otherwise, and we may contact you about the outstanding amount.
4. Plans, prices and billing
Plans are charged by subscription. Your plan sets how many depots you may keep live on the site. Vans and enquiries are unlimited on every plan.
- Prices are those published on our pricing page at the time you take or renew a plan, and are shown in pounds sterling.
- Billing runs monthly, quarterly or annually, depending on what you choose and what your plan offers.
- Longer billing periods carry a discount, as published on the pricing page.
- Prices exclude VAT unless stated otherwise.
Changing plan. Moving up to a larger plan takes effect immediately. Moving down takes effect at your next renewal, so a period you have already paid for is never cut short; you choose which depots go dark as part of that move. A dark depot and its vans leave the public site but are not deleted.
Renewal. Subscriptions renew automatically at the end of each period unless you cancel before the period ends. You can cancel your renewal from your partner dashboard at any time. Cancelling stops the next charge; it does not refund the current period.
Failed payments. If a payment fails we will tell you. If it stays unpaid we may suspend your listings.
Refunds. Except where the law requires otherwise, payments are non-refundable, and we do not refund part of a period if you stop using the service part-way through it.
5. Sponsored slots and van offers
Sponsored slots and van offers are optional paid promotions:
- A sponsored slot promotes the vans you choose, for one van type in one town, for the term you buy. Sponsored vans are shown above ordinary results and are labelled as sponsored. Where more than one partner holds a slot for the same van type and town, the positions are rotated.
- A van offer is a promotional claim on one of your own vans, sold in terms of one to four weeks. It never changes where your van ranks.
- Both are sold for a fixed term and do not renew automatically.
- You may end a slot or an offer early, but the term is not refunded pro rata.
6. Your listings and your content
You are responsible for everything you publish through your account — your company profile, depots, vans, prices, photographs and any offer wording. You confirm that:
- you have the right to publish it, and it does not infringe anyone else's rights;
- it is accurate and not misleading, and your prices and availability are kept up to date;
- it complies with the law, including consumer protection and advertising rules.
You grant us a non-exclusive, royalty-free licence to display, reproduce and promote your listings and content on the site and in connection with it, for as long as they are on the site and afterwards in archived or cached copies.
We may edit, decline, suspend or remove any listing or content that breaks these terms, that we believe is inaccurate or misleading, or that we consider unsuitable — and we may do so without notice.
7. Enquiries
We pass customer enquiries to you so that you can respond. We do not guarantee any volume of enquiries, any number of clicks, or any particular result from the site. You are responsible for responding to enquiries, and for the response time you advertise.
You must handle the personal information in an enquiry lawfully, use it only to deal with that enquiry, and not add the customer to marketing lists without their consent.
8. Our side of the bargain
We will provide the service with reasonable care and skill, and keep the site available as far as we reasonably can. We do not promise uninterrupted or error-free service, and we may change, suspend or withdraw any part of it. We may carry out maintenance at any time.
9. Ending your account
You may close your account at any time from your partner dashboard, or by contacting us. We may suspend or close your account if you break these terms, if we are required to by law, or if we stop offering the service.
When an account closes, your listings come off the site. We may keep records as described in our privacy statement, and any amount already due remains payable.
10. Our liability
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited.
Subject to that, we are not liable for loss of profit, loss of business, loss of anticipated savings, loss of data, or any indirect or consequential loss. Our total liability to you in any twelve-month period is limited to the amount you paid us in that period.
11. Changes to these terms
We may update these terms, for example to reflect changes in the law, our prices, or the service. We will give you reasonable notice of any material change by email or in your dashboard. The date at the top of this page shows when these terms last changed. Continuing to use the service after a change means you accept the updated terms.

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

What personal information we collect, why we collect it, who we share it with, and the rights you have.
This statement explains what personal information vanhire.com collects, why we collect it, what we do with it, and the rights you have. It covers visitors, people who send an enquiry, hire companies that join the waiting list, and partners with an account.
1. Who is responsible for your information
vanhire.com ("we", "us", "our") is the data controller for the information described here. Our registered details are [registered company name], [registered office address], company number [company number]. You can reach us about privacy at privacy@vanhire.com.
2. What we collect, and why
If you browse the site
We record anonymous search activity — the town searched, the van type, and the day. It contains no identifier and cannot be traced back to you or your device. We use it to see where demand is not being met, so we can recruit hire companies in those places. We also keep aggregate usage statistics for the platform's operation and improvement.
If you send an enquiry
We collect your name, email address, phone number, the van and hire company you are asking about, your pick-up and return dates, and anything you write in the message. We use this to pass your enquiry to the hire company you chose, to give you a reference, to email you a confirmation, and to keep a record of the enquiry in case either of you needs to refer to it. We also record how long it took for the enquiry to be answered, so that we can show response times.
If you join the waiting list
We collect your company name, your name, your work email address, your phone number, the town you hire from, your fleet size, the van types you hire out, and your website if you give it. We use this to contact you about the launch, to set up your account, and to keep a record of your interest and of the terms you agreed to.
If you open a partner account
We collect your name, email address and account details, your company details, your depot addresses, your van listings, your billing contact and, where you pay by card, the fact that a subscription exists. Card details are handled by our payment provider — we never see or store them.
3. Our lawful basis
- Contract — to provide a partner account and the service you have signed up for.
- Legitimate interests — to run and improve the site, to record anonymous demand, to keep records of enquiries and response times, and to prevent misuse and fraud.
- Consent — where we rely on it, for example if you ask to receive updates. You can withdraw consent at any time.
- Legal obligation — to keep accounting and tax records, and to respond to lawful requests.
4. Who we share it with
- The hire company you enquire with. Your name, contact details, dates and message are shared with them so that they can reply. They are a separate controller of that information and their own privacy notice applies.
- Our payment provider (Stripe) — to take subscription payments and to run the billing page where you manage your card.
- Our email provider (Postmark) — to deliver confirmation emails to customers.
- Our hosting and platform provider (Base44) — which stores the site's database and files, and sends platform emails.
- Professional advisers, and any successor — if we need advice, or if the business is ever transferred.
- Authorities — where we are required by law to disclose information.
We do not sell personal information, and we do not share it for anyone else's marketing.
5. Where your information is held
Your information is stored on our platform provider's systems, which may be located outside the UK. Where information is transferred outside the UK we rely on appropriate safeguards, such as the UK's adequacy regulations or standard contractual clauses.
6. How long we keep it
- Enquiries — kept while the enquiry is live and afterwards for as long as we need it for our records and to resolve any dispute.
- Waiting list records — kept until you join, ask us to remove you, or we close the list.
- Account and listing records — kept while the account is open, and afterwards for as long as we need to meet our legal and accounting obligations.
- Anonymous search records — kept in aggregate; they identify no one.
7. Your rights
You have the right to ask for a copy of your information, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable form. Where we rely on consent, you can withdraw it at any time.
To exercise any of these, email privacy@vanhire.com. We will respond within one month. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.
8. Cookies and similar technologies
What the site stores on your device, and how to control it, is set out in our cookie notice.
9. Security
We take reasonable technical and organisational measures to protect your information, including encryption in transit and access controls. No system is completely secure, so we cannot guarantee absolute security.
10. Changes to this statement
We may update this statement from time to time. The date at the top shows when it last changed. If a change is significant we will make that clear on the site.
